CANCELLATION & REFUND POLICY

Effective Date: 1 September 2026

At Mwemezi African Safaris, we understand that travel plans can change. Our cancellation policy is designed to be fair to our guests while recognizing that safari arrangements involve advance commitments and non-refundable payments to accommodation providers, park authorities, transport providers and other partners.

1. Booking Confirmation

A safari booking is considered confirmed once Mwemezi African Safaris has received the required deposit or full payment, as specified in the booking confirmation.

Until the required payment has been received, accommodation, activities and other services remain subject to availability and are not guaranteed.

2. Standard Cancellation Policy

Cancellation charges are based on the date written notification of cancellation is received by Mwemezi African Safaris.

Unless otherwise stated in the booking confirmation:

61 days or more before arrival10% of total booking value
31–60 days before arrival25%
15–30 days before arrival50%
8–14 days before arrival75%
0–7 days before arrival / No-show100%

The remaining amount, after applicable cancellation charges and any non-refundable costs, will be refundable to the client.

3. Non-Refundable Services

Some safari services may have cancellation conditions imposed by third-party suppliers. These may include:

  • Non-refundable accommodation rates

  • Special promotional rates

  • Certain camps and lodges

  • Domestic or charter flights

  • Private transfers

  • Special activities

  • Park or conservation-related fees

  • Other services with non-refundable deposits

Where a supplier’s cancellation terms are stricter than our standard policy, the supplier’s actual non-refundable charge may apply.

Any such special conditions will be communicated to the client before or at the time of booking.

4. Changes to a Confirmed Booking

Requests to change travel dates, accommodation, destinations, activities or other components of a confirmed safari are subject to availability.

Changes may result in:

  • Additional supplier charges

  • Rate differences

  • Cancellation fees

  • Administrative or rebooking costs

Any additional costs arising from changes requested by the client will be payable by the client.

We will make every reasonable effort to accommodate requested changes.

5. Cancellation by Mwemezi African Safaris

In the unlikely event that Mwemezi African Safaris must cancel a safari for reasons within our control, we will work with the client to provide an appropriate alternative or refund, subject to the circumstances and amounts recoverable from our suppliers.

Where cancellation results from circumstances beyond our reasonable control, the provisions under Force Majeure below will apply.

6. Force Majeure

Mwemezi African Safaris cannot be held responsible for cancellations, interruptions or changes resulting from circumstances beyond our reasonable control.

These may include, but are not limited to:

  • Natural disasters

  • Severe weather conditions

  • Floods or other environmental events

  • Government restrictions

  • Civil unrest or security situations

  • Border closures

  • Epidemics or pandemics

  • Acts of terrorism

  • Strikes or major transport disruptions

  • Other events beyond our reasonable control

In such circumstances, we will make reasonable efforts to assist the client and recover as much as possible from suppliers.

Any refund, credit or alternative arrangement will depend on the amounts recoverable from suppliers and the terms applicable to the affected services.

7. Refunds

Where a refund is due, Mwemezi African Safaris will process the refund after determining the applicable cancellation charges and amounts recoverable from suppliers.

Refunds will normally be made using the original payment method where practical.

Any bank charges, payment-processing fees or other third-party charges that are non-refundable may be deducted from the amount refunded.

Processing times may vary depending on the payment method and financial institution.

8. Travel Insurance

We strongly recommend that all guests purchase comprehensive travel insurance before travelling to Tanzania.

Travel insurance should ideally cover:

  • Trip cancellation

  • Trip interruption

  • Medical expenses

  • Emergency evacuation

  • Lost or delayed baggage

  • Travel delays

  • Personal liability

  • Other relevant travel risks

Guests are responsible for ensuring that their insurance provides adequate coverage for their individual circumstances.

9. Cancellation Notification

All cancellations must be submitted to Mwemezi African Safaris in writing by email or another officially accepted communication channel.

The effective cancellation date is the date on which written notification is received by Mwemezi African Safaris.

Verbal cancellation requests to guides, drivers, hotels or other third parties will not be considered official cancellation unless confirmed directly with Mwemezi African Safaris.

10. Special Bookings

Different cancellation and payment conditions may apply to:

  • Large groups

  • Peak-season bookings

  • Luxury or exclusive-use properties

  • Special promotional rates

  • Last-minute bookings

  • Bookings involving non-refundable services

  • Custom or tailor-made arrangements

Where different terms apply, they will be clearly stated in the client’s quotation or booking confirmation.

11. Our Commitment

We understand that cancellation can be disappointing and sometimes unavoidable. Our team will always make reasonable efforts to minimize cancellation costs and recover refundable amounts from our suppliers on behalf of our guests.

Our goal is to handle every cancellation fairly, transparently and professionally.
